Role Description
Finance and Accounting Manager
ASAPP Financial Technology Inc.’s Finance and Accounting Manager reports directly to the President and CEO and will collaborate with the Leadership Team, including the Chief Technology Officer (CTO), Chief Product Officer (CPO), and SVP Finance, as well as the Human Resources and Training Manager, Sales and Marketing Manager, and Client-Partner Success Manager, playing a pivotal role in supporting the organization’s financial and management accounting procedures, processes, and systems as well as helping to drive positive organizational risk-weighted growth.
The Role
- Invoicing, Revenue Recognition, and Accounts Receivable:
- New Closed / Won Deposit Invoicing
- Set up Billing Contracts in Accounting Software
- Set up Milestone Invoices for Services Revenue
- Monthly Platform Licensing / Hosting Invoicing
- Monthly Platform Support / Services Invoicing
- Monthly and Quarterly Strategic Partner Revenue Share Invoicing
- Percentage of Completion Invoicing for Platform Implementation and Enhancements
- Monthly Accruals and Revenue Recognition Management
- Work-in-Progress / Unearned Revenue Accrual Reconciliation
- Formal follow up process on past due invoices (emails and phone calls)
- Document in CRM System / Escalate to Platform Services / Customer Success
- Banking / Treasury Management:
- Cash Management
- Bank to GL Reconciliations
- Payroll Funding Coordination
- Check/ACH/Wire Approvals
- Deposit Cheques
- Reconcile Customer Cheques / ACH / Wire Deposits to Open Invoices
- Foreign Exchange Management and Hedging (if / when applicable)
- Accounts Payable and Corporate Credit Cards:
- Enter Vendor Invoices into Accounting System
- Coordinate Department Level Approval for Discretionary Spending
- On-Time Vendor Payments
- Team Member Expense Report Processing
- Import / Load Expense Reports into Accounting System
- Reimburse Team Members for Approved Expenses
- Administer Corporate Credit Card Program and Vendor Relationship
- Add and Remove Corporate Credit Card Account Holders
- Review Limits and Fraud Management
- Annual Card Cost and Benefit Review
- Sales Tax Management (HST, GST, PST, and applicable US State and Federal Taxes):
- Reconciliation of Subledger(s)
- On-time Payment Processing
- Monitor Provincial, State, and Federal Sales Tax Compliance and Changes
- Financial Accounting:
- Monthly Close Process Completed by 15th of Each Month
- Monthly Account-by-Account GL Reconciliation
- Annual Close Process Completed Within 45 Days of Year-End
- Annual Account-by-Account GL Reconciliation with Auditor Backup
- Annual Financial Statement Preparation Coordination with Auditors
- Work with Auditors on Questions and Follow-up
- Review Engagement Statements Delivered Within 90 Days of Year-End
- Corporate Tax:
- Coordinate Annual Tax Return Preparation with Auditors
- Provide Financial Data to Auditors to Complete Federal, Provincial and State Returns
- Pay Estimated Monthly / Quarterly Taxes / Fees to CRA / IRS / Provinces / States
- Manage CRA / IRS / Provincial / State Tax Notifications
- Annual Compensation Review:
- Working with Human Resources, Coordinate Annual Compensation Review
- Working with the CRMO on Sales Compensation Plans / Adjustments / Estimates
- Corporate Bonus Management:
- Administration and Tracking of Corporate and Individual Bonus Compensation
- Monthly Accrual Management
- Reconciliation of Accrual to Bonus Disbursements
- Coordinate Payouts with Human Resources and Training Manager / Payroll Provider
- Capital Transactions:
- Manage Shareholder Records
- Update and Maintain Accurate Capitalization Table
- Stock Option Plan Recordkeeping and Maintenance (if / when applicable)

- Budgeting:
- Manage Annual Budget Process Including Creating Board of Director Slides

- Update Forecast on Monthly Basis

Success Criteria
Critical
- Minimum 5 years full-time, post university experience in corporate financial and management accounting for a medium-sized or larger Ontario-based for-profit corporation
- Strong knowledge of financial reporting, financial analysis, ASPE accounting standards, and management accounting best practices
- University Undergraduate Accounting Degree
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Applications with very strong Microsoft Excel skills
- Service focus and flexibility to support team members outside of normal business hours
- Excellent interpersonal and leadership skills
- Ability to handle sensitive and confidential information with absolute discretion
Desired
- Professional Accounting Designation Preferred (CPA - CA / CMA / CGA)
- SaaS Metrics reporting experience

Specific Details:
- Full-time / Permanent role
- Position is in our downtown Toronto office
- Limited travel within Ontario required during the October 25 – March 26 onboarding period (likely 4 x 3-day trips to Sault Ste. Marie)
